ENTERPRISE / FINANCIAL WORKFLOWS

Enterprise financial
workflows.

Crownstone Capital is planning a platform for enterprise financial workflows. The planned scope connects payment instructions, approval processes, reconciliation and reporting, with an emphasis on how financial work moves between people, controls and enterprise systems.

ILLUSTRATIVE OPERATING SCENARIO

One invoice.
A connected chain of decisions.

This supplier-invoice example explains the intended workflow design. It is an illustration of planning questions, not a live transaction or a product demonstration.

The important work sits between the steps.

An approval, a provider update and a reconciled record describe different events. Bringing them into one workflow starts with agreeing what each event means and who handles the exceptions.

The proposed platform direction considers how that context could remain available as a task passes between operations, finance and enterprise systems.

  1. Capture the request.

A supplier invoice enters the review with its reference, business purpose, amount, currency and relevant business entity. Missing fields should be visible before the request moves on.

Record to define: the source document and its reference.

  2. Check the supporting details.

The responsible reviewer checks the request against the business records available to them. An unclear recipient or a repeated invoice needs an identified owner for follow-up.

Record to define: questions raised, owner and next action.

  3. Document the approval decision.

The proposed workflow distinguishes preparation from approval. A change to material information should have a defined route back through review.

Record to define: decision, reviewer and the version reviewed.

  4. Interpret the reported status.

An instruction being approved is different from a connected provider reporting that it has been processed. Status definitions and the source of each update need to be agreed.

Record to define: external reference, source and update time.

  5. Review any difference.

The finance team compares the available activity record with the original instruction. An unmatched reference, timing difference or missing record stays open for investigation.

Record to define: the difference, explanation and resolution owner.

  6. Prepare the closing explanation.

A reviewed item should be understandable during a later internal review. The original request, decisions and any remaining qualification need to remain connected.

Record to define: closing evidence or the reason the item remains open.
